The Challenge
A university managing over 30,000 students faced severe daily bottlenecks in its placement and internship operations. Manual processes created constant queues, approval delays, and coordination failures between students, staff, and placement stakeholders.
This pilot demonstrated how digitalization can modernize internal departments and create interconnected systems across an institution.
What We Designed
We conducted an end to end process audit and redesign of the full placement workflow, then built automation across every stage:
- Automated application intake, routing, and approval stages
- Self service student submission portal with live status tracking
- Staff side review and approval workflows with rule based validations
- Centralised dashboard for processing visibility and operational reporting
- Fully compliant digitalization of head of TPO sign stamping
System Calculated Capability
Outcome and Ongoing Partnership
The designed system was a potential measurable technical success. However, the institution subsequently chose to expand their existing ERP system for internal alignment reasons, and did not proceed to a full rollout. The calculated outcomes, their internal team reviews and architecture remain a proven blueprint for similar workflow automation at other institutions.
Though the pilot concluded, the university recognized our efforts. They appointed Manthan Gohel, our CEO, as an industry expert mentor for their internal Ignite program. The relationship continues: we organize workshops and student activities, contributing technology driven inputs to their academic ecosystem.
